- Description
Successful NYC based well-established Construction firm seeks Accounting Manager/Controller
- Handling sales tax for the company. Saving of invoices where use tax is required and sending to accountant a summary on a quarterly basis.
- General housekeeping and closing out of books on a quarterly basis.
- Yearly housekeeping and closing out of books at end of year.
- Any audits or tasks required by accountant.
- Providing monthly AR reports and summary of requisitions
- Providing monthly summary of outstanding retainage to president. Review of these items the following week to identify needed sources of emphasis for follow ups.
- Responsibilities will also include following up on outstanding billing on a weekly basis.
- Accounts Receivable
- Requisitions: Creating schedule of values for jobs.
- Generating an initial payment requisition for a job and getting approval of the initial requisition and application.
- Preparing monthly payment pencil requisitions for contractors. Finalizing final payment requisitions for jobs following approval of pencil requisitions.
- Creating invoices that tie to the payment requisitions as the requisitions are approved.
- Updating retainage values on our job list and maintaining retainage tally/total as payment requisitions are approved and updated.
- Providing president/project managers with weekly summary of requisitions needed so billing can be established.
- Invoices: Some of our customers operate with invoices instead of requisitions. These customers will require standard invoices.
- Providing project managers with weekly invoice list to identify any further billing.
- Filling out and reviewing payment waivers from customers to obtain payments and checks.
- Entering and depositing checks based upon invoices and payment requisitions. Keeping QuickBooks up to date.
- Accounts Payable
- Entering bills and tying costs to individual jobs.
- Saving bills digitally.
- Paying vendors and entering payments.
- Summarizing and breaking down AMEX bill and applying costs to individual jobs.
- Breaking down shop labor costs and applying to individual jobs on a weekly basis according to excel formula/sheet.
- Breaking down project manager costs and applying to individual jobs on a weekly basis according to weekly summary provided by project managers.
- Handling checking account / balances.
- Saving of contracts and all change orders.
- Maintenance of change order log and job log.
- Follow ups on outstanding change order and purchase orders.
- Weekly review of outstanding items with president.
- Union hours & payments.
- Coordination and general communication with the union representatives.
- Updating pay scale for union shop workers on annual basis.
- Dealing with any audits that may come up pertaining to union dues or hours.
- Coordination of sales with insurance broker for renewal of insurance.
- Assistance with yearly review of insurance and insurance renewal.
- Handling any insurance audits pertaining to sales.
- Payroll.
- HSA contributions – through payroll company.
Experience
- 7 – 10+ years accounting experience, with at 4 least years’ experience in the Construction Industry.
- Public/Private experience A Plus
- Bachelor’s degree in Accounting a Plus
- QuickBooks experience preferred
